We respect your privacy and are committed to protecting your personal data. This notice gives you information about what we do with your Personal Data, how we manage it, as well as your rights in relation to the Personal Data we hold about you.

As a UK based business our handling of your information is controlled by the UK Data Protection Act 2018 and the Data Protection, Privacy and Electronic Communications (Amendments etc) (EU Exit) Regulations 2019 (known as UK GDPR).

What we collect

We may collect your name, email, telephone number, financial information for invoicing and business details for legitimate interests when you:

  • When you register for and / or attend events where we participate or host

For the purposes of this notice, we are the data controller unless it has been specifically noted otherwise. It does not cover processing we do in relation to the service we provide to our clients as a data processer.

Where we use social media or where you click a social media icon on our website, be aware that these companies are independent to us, they manage their own affiras and they will be the data controller in their own right. Please refer to their privacy notices on their websites.

This helps us to identify opportunities to develop our services further, our compliance with applicable usage terms and for overall security of our products, services and applications. We may reach out to you directly if we feel there is a legitimate interest.

How we use it

We may share your Personal Data in the following circumstances:

  • Where we are using contracted service partners for services such as IT, web conferencing, hosting and system administration, email communications, analytics and research, survey providers, and customer support.

  • If you are an employee or individual affiliated to one of our clients, they remain a Data Controller of your personal data for any service provision where we are deemed a ‘Data Processor’ of theirs, however, the same level of data sharing may take place as specified within this notice.

  • We may be required to share your details for the purpose of registration, security and administration of events.

  • To any competent law enforcement or regulatory body, government agency, court or other third party where we believe disclosure is necessary as a matter of applicable law or regulation, to exercise establish or defend our legal rights, or to protect your vital interest or those of another person.

  • To apply our Terms of Service or other agreements to protect Gathr Studios Ltd and its customers.

We may share your data, anonymised or aggregated data gathered in the normal course of the administration and good running of our business with third parties or service providers to enable greater analysis, service improvements and industry or service related trends to be identified and action taken accordingly.

In general, the personal data that we collect from you will be stored at at a destination within the UK or European Economic Area (EEA).

However, sometimes your personal data may also be transferred to a service provider in a third country outside the UK or EEA.

We take all resonable steps to keep your presonal data as secure as possible when we use, store or transmit it and that is only accessed as needed by our staff or other verified persons who have the necessary authority to do so.

Data Retention

We will only retain your persona data for as long as necessary to fulfil the purpose we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

In general, unless still required, we remove your personal data from our records seven years after the data it was collected unless a different retention period applies. E.g. job application data will be removed after 12 months.

We do not sell or share your data/ We may use trusted tools (such as email platforms) to deliver services securely. When you leave our Website, we encourage you to read the privacy policy and terms and conditions of every website you visit.

Your Rights

You can request access, correction, objection, restriction, transfer. withdrawal or deletion of your data at any time by contacting us at emily@gathrstudio.co.uk.

We aim to respond to all legitimate requests within one month. Occasionally it may take us longer tan a month if your request is particularly complex. In some cases, we also have the right to refuse (or charge a fee in respect of) any excessive or manifestly unfounded requests. In these cases we will notify you accordingly.
